KOAH LLC · LEGAL

Privacy Policy

Effective Date: October 18, 2026

Business Name: Koah LLC

Website: https://www.koahai.com

At Koah LLC ("Koah," "we," "us," or "our"), we respect your privacy and believe you should understand how your information is used.

This Privacy Policy explains how we collect, use, store, and share personal information when you visit our website, contact us, complete a form, register for a workshop, schedule an appointment, or purchase our products or services.

1. Information We Collect

Depending on how you interact with Koah, we may collect the following information:

Contact and business information: Your name, email address, phone number, business name, industry, and other contact details you voluntarily provide.

Inquiry and communication information: Information you share through contact forms, workshop interest forms, questionnaires, scheduling requests, emails, and other communications. This may include descriptions of business challenges, workflows, or tasks for which you would like assistance.

Appointment and service information: Information needed to schedule and deliver consultations, workflow diagnostics, workshops, guided working sessions, and implementation services.

Payment and transaction information: Purchase amounts, transaction dates, billing information, payment status, and related records when you purchase Koah products or services. Payment card details are processed through third-party payment providers rather than stored directly by Koah.

Website and technical information: Our website hosting provider and connected services may process technical information such as IP addresses, browser types, device information, and information necessary to deliver and secure the website.

Additional usage information may be collected if we enable analytics or tracking tools in the future.

Marketing preferences: If you subscribe to educational updates, we may collect your email address, selected interests, communication preferences, and subscription or unsubscribe status.

We aim to collect only information reasonably necessary for our business operations and services.

2. How We Use Your Information

We may use your information to:

Respond to questions, inquiries, and requests for assistance; schedule appointments, consultations, and workshops; provide purchased products and services; prepare workflow assessments, recommendations, and implementation plans; deliver educational resources and requested communications; provide workshop announcements, AI tips, and other marketing communications when permitted by applicable law; maintain client relationships and service records; process transactions and maintain financial records; improve our services and customer experience; protect our systems, prevent fraud, and comply with legal obligations.

Marketing communications: Koah may offer optional subscriptions to practical AI tips, demonstrations, resources, and workshop announcements.

Submitting a general inquiry or requesting assistance does not automatically mean you have subscribed to marketing emails.

When we send marketing emails, recipients will be able to unsubscribe using the instructions provided in those messages or by contacting us at hello@koahai.com.

Unsubscribing from marketing communications will not necessarily stop important service-related messages, such as appointment confirmations, payment receipts, or communications about an active engagement.

3. Payments and Third-Party Services

Koah uses third-party services to operate its website and business. These may include:

Webflow: Website hosting and publishing.

HighLevel: Customer relationship management, contact forms, scheduling, appointment communications, and related business workflows.

Stripe: Payment processing for applicable purchases.

Email and communication providers: Delivery of business correspondence, notifications, and, if enabled, marketing communications.

Other technology providers: Software, AI, automation, or collaboration platforms used to provide specific services where applicable.

These providers may process information needed to perform their functions. Their privacy practices are also governed by their respective policies.

Payment card information entered through a third-party checkout is generally handled by the payment provider rather than stored directly by Koah.

If a service engagement requires access to additional business systems or data, the nature and scope of that access may be addressed in a separate service agreement.

4. Cookies and Tracking Technologies

Koah's primary website is hosted on Webflow.

At the time of this policy's preparation, Koah had not enabled Webflow's native visitor analytics collection or configured Google Analytics tags through its connected Webflow site.

We had not identified advertising pixels or additional analytics scripts in the Webflow configuration reviewed.

Webflow states that it does not automatically add cookies to websites hosted for its customers.

However, third-party services accessed through our website, including scheduling, forms, and payment providers, may use cookies, local storage, or similar technologies for functionality, security, fraud prevention, and other purposes.

Depending on the features accessed, such technologies may help maintain a secure browsing or checkout experience; support form submissions or appointment scheduling; prevent spam, abuse, or fraudulent activity; remember certain session information; and provide other functions of an integrated third-party service.

We do not currently represent that all pages and linked services are free of cookies.

Managing cookies: You can manage or delete many cookies through your browser settings. Restricting cookies may affect certain website or third-party service features.

Do Not Track and other privacy signals: Koah has not implemented a separate website-wide mechanism specifically responding to browser Do Not Track signals. We will review applicable requirements if we add additional tracking or advertising technologies.

Third-party tracking: Koah has not intentionally configured cross-site behavioral advertising trackers in the Webflow settings reviewed. Third-party platforms linked to or embedded within our website may independently process technical or usage information as described in their own privacy policies.

We will update this policy if our tracking practices materially change.

5. How We Share Information

Koah may share personal information with service providers that assist with website hosting, scheduling, communications, payments, technology operations, and service delivery.

We may also disclose information when required by applicable law or legal process; to protect our rights, systems, customers, or business; with your authorization or at your direction; or as part of a business transaction, subject to applicable legal requirements.

Sale or sharing for advertising: Koah does not currently sell personal information or intentionally share it with advertising networks for cross-context behavioral advertising.

We do not use personal information obtained through our website to create lists for sale to third parties.

If our practices change, we will update our disclosures and provide any legally required choices.

6. Data Security and Retention

Koah uses reasonable administrative, technical, and organizational safeguards appropriate to the information we handle.

Access to personal information is limited to legitimate business purposes, and we rely on service providers to maintain appropriate security protections for their systems.

No website, transmission method, or electronic storage system can be guaranteed completely secure.

Data retention: Koah generally follows these retention periods, unless a longer period is required by law, a contract, a legitimate dispute, or another documented business need:

General inquiries and non-client contacts: Up to 24 months after the last meaningful interaction.

Client service records: Generally three years after the final engagement or last relevant service activity.

Financial, billing, and transaction records: Generally seven years, or longer when legally required.

Marketing subscriptions: While the subscription remains active, with limited suppression records retained as needed to respect unsubscribe requests.

Workshop registrations and participation records: Generally up to 24 months after the event, unless connected to a longer client relationship or applicable recordkeeping obligation.

When information is no longer needed, Koah will delete it, anonymize it, or otherwise dispose of it appropriately, taking into account retention capabilities, backups, and legal requirements.

7. Your Privacy Choices

Depending on your location and applicable law, you may have rights to request access to, correction of, or deletion of certain personal information, or to object to particular uses.

You may also request that we update inaccurate contact details; ask to stop receiving marketing communications; request information about our use of your personal data; or contact us with questions about personal information you have provided.

To submit a privacy request, email hello@koahai.com.

We may need to verify your identity before fulfilling certain requests.

We will review and respond to requests in accordance with applicable law. Certain information may need to be retained for legal, contractual, security, or legitimate business purposes.

Additional privacy rights and notices may apply to individuals in jurisdictions with specific data protection laws.

8. Children's Privacy

Koah's website and services are intended for businesses, professionals, and individuals interested in business technology and education.

Our services are not directed toward children under 13.

We do not knowingly collect personal information online from children under 13 without complying with applicable legal requirements.

If you believe a child has provided personal information improperly, please contact us at hello@koahai.com so we can review and address the matter.

9. Updates to This Policy

We may update this Privacy Policy to reflect changes to our services, technology, information practices, or legal obligations.

The effective date at the beginning of this policy identifies when the current version took effect.

We will provide additional notice of material changes when required by law.
